The idea of implementing "Artificial Intelligence" can sound intimidating to small business owners who don't have an IT department. Step 1: Claim Your Number
The first step is acquiring your AI's phone line. When you sign up for Leads Flow, you'll be provisioned a dedicated phone number. You have two choices for how to use it:
- Direct Use: Put this new number on your website and Google Business profile.
- Call Forwarding (Recommended): Keep your existing business number, but set up "Conditional Call Forwarding" with your carrier. This tells your phone system: "Ring my office first. If we don't answer in 3 rings, forward the call to the AI number."
Step 2: Build the Knowledge Base
Your AI is only as smart as the information you give it. In your dashboard, you'll find a text box for your Knowledge Base. Simply write out everything the AI needs to know in plain English. For example:
"We are Smith & Co Plumbing. Our hourly rate is $120. We do not do commercial plumbing, only residential. We are located at 123 Main St. We offer free estimates for new water heaters. If a customer asks about a gas leak, tell them to evacuate and call 911 immediately."
Step 3: Connect Your Calendar
If you want the AI to book appointments, connect your scheduling software. We highly recommend Cal.com. Once connected, define the types of appointments the AI is allowed to book (e.g., "30-minute Consultation") and authorize the AI to read your free/busy schedule.
Step 4: Define the System Prompt
This is where you give your AI a personality. The prompt dictates how it behaves. A good prompt looks like this:
"You are Jessica, the friendly receptionist for Smith & Co. Keep your answers brief and conversational. Your primary goal is to book a consultation on the calendar. If the caller asks a complex technical question, politely explain that you handle scheduling and book a time for a plumber to evaluate the issue."
Step 5: Test and Go Live
Before launching, call your new AI number yourself. Ask it questions, try to book a fake appointment, and throw curveballs at it. Review the transcripts in your dashboard. If the AI hallucinates or answers incorrectly, simply update the Knowledge Base to clarify the rules.
Once you're satisfied, turn on call forwarding, and your business is now powered by AI!
